Ballarat High School commenced in 1907 as Agricultural High
School and today has a student population of approximately 1400 students.

ROLE
DESCRIPTION:
The holder of this position will work at Ballarat High School,
undertaking a range of administration tasks to (i) assist the Ballarat Regional
Bus Co-ordinator and (ii) co-ordinate and allocate all grade 6 students in the
Ballarat region, into a secondary educational setting. These tasks require the
extensive use of specialised Bus Co-ordination and School Placement software and
Microsoft products. An excellent knowledge of the Ballarat and district
geographical area is essential. Some knowledge of CASES 21 Finance, CASES 21
Student Admin, First Class and Daymap would be an
advantage.
As an ESO staff member, the range of duties may be expanded in
the future in accordance with the ESO Level 1, Range 1 General
Duties.
BUS TRAVEL
ADMINISTRATOR
The
Ballarat Regional Bus Co-ordinator is based at Ballarat High School. The Bus
Travel Administrator is a support person for the Co-ordinator in the operation
of the school bus transport service around the Ballarat area. Functions include:
monitoring of loading, student behaviour and discipline, contractor and driver
payments, contractor and driver conduct, temporary service variations,
stakeholder liaison, eligibility to travel guidelines, distribution of
information and applications for permission to
travel.
The
Bus Co-ordinator reports to the Ballarat High School Principal, who undertakes
this function on behalf of the DEECD on a rotational
basis.
PLACEMENT
OFFICER
Approximately
1500 students undertake Grade 6 studies in the Ballarat regional primary schools
each year. Each student/family is required to apply for a position in a
Secondary setting following the guidelines set out in the DEECD Grampians
Region Placement Process. The Placement Officer, in conjunction with their
Principal, is responsible for the co-ordination and administration of the
Placement Process.
The
Placement Officer reports to the Ballarat High School Principal, who undertakes
this function on behalf of the DEECD on a rotational
basis.
RESPONSIBILITIES:
General administration:
-Operate and manage the Bus Travel and Placement software
programs.
-Undertake clerical and keyboard duties in support of the Bus
Travel and Placement functions.
-Provide document preparation and
support.
-Maintain, enter and retrieve data from the School’s computer
systems.
-Prepare correspondence according to
procedures.
-Prepare inventories, requisitions and other documents as
required.
-Maintain and update written
records.
-Receive documentation and record
data.
Finance:
-Undertake basic financial control of
budget.
-Perform filing according to School
procedures.
-Check delivery of stock against invoice
documents.
-Check records for completeness and
accuracy.
Delivery of support
services:
-Receive client enquiries and provide direction and advice in a
professional manner and in accordance with guidelines and
policies.
- Assist with the
liaison and communication between parents, teachers, other staff and members of
the wider School community.
-Distribute and courier documents when
required.
Management of School
resources:
-Ensure storage areas are in a clean, safe and orderly
condition.
-Order resources as required for the efficient operation of the
area, within budget constraints.
Support to School Council:
-Perform clerical and keyboard duties in support of the School
Council and subcommittees when required.
Human resources:
- Assist in the identification of own training needs.
- Participation in a process of Professional Learning and
Growth.
KEY SELECTION
CRITERIA:
Applicants

KSC1 An ability to communicate
effectively, including a demonstrated very high level of interpersonal and
negotiation skills when relating to staff, students, parents and the wider
School community.
KSC2 An ability to act in a

Experience in the use of Cruising Solutions software applications would be an
advantage.

Demonstrated ability to use office equipment, including photocopiers,
